Overview: What are we talking about?

Promotions offer discounts that businesses can seamlessly add to invoices. Plus, customers get exclusive codes to unlock discounts when booking their own reservations through the Customer Portal 2.0.

Helpful Hints: Before you begin

  • Before you begin, please take a moment to review our article titled Setting Up Promotions to configure the required options.

  • Promotions are not sensitive to uppercase or lowercase, however, they are sensitive to any spaces.

  • Important: If the toggle "Allow customers to view estimates" is turned off, then customers will not be able to view any promotions added to their estimates or add any promotions codes themselves through the customer portal. To adjust this toggle, navigate to Left-hand Navigation: Admin » Customer Interaction Settings. 

 

How to: Apply Promotions To Estimates

From the business side when making a new reservation

  1. Navigate to Left-hand Navigation: Clock Icon » New Reservation to begin creating a reservation. For more information on creating reservations, check out our article titled Making a Reservation
  2. Generate the estimate
  3. Using the Promotions dropdown, select the desired Promotion you wish to apply. You can begin typing in this field to filter the promotions
  4. Click the blue +Apply button to add this promotion
  5. Save the reservation

From the business side when making a new appointment

  1. Start by creating your appointment from Left-hand Navigation: Clock Icon » New Appointment
  2. Generate the estimate
  3. Using the Promotions dropdown, select the desired Promotion you wish to apply. You can begin typing in this field to filter the promotions
  4. Click the blue +Apply button to add this promotion
  5. Once added, you can select 'Create Appointment'

From the customer portal 

Important: If the toggle "Allow customers to view estimates" is turned off, then customers will not be able to view any promotions added to their estimates or add any promotions codes themselves through the customer portal. To adjust this toggle, navigate to Left-hand Navigation: Admin » Customer Interaction Settings. 

  1. To begin, navigate to the customer portal for your facility. From the Home menu, select your pet(s) and then choose Start Booking
  2. Choose a booking type, date(s), and any service add-ons
  3. Add any applicable notes and review the estimate
  4. Using the Promo Code field, enter your Promotion. (Promotions are not sensitive to uppercase or lowercase, however, they are sensitive to any spaces)
  5. Click the blue +Apply button to add this promotion
  6. Save the reservation

If the Promotion is expired or typed in incorrectly, pet parents will receive an error message "This promotion cannot be added to your estimate."

How to: Apply Promotions In The Cart

Applying promotions in bulk to all items

  1. Navigate to the Top Navigation: Shopping Cart Icon
  2. Utilize the Promotions section to choose your Promotion

  3. Select your desired promotion. You can also start typing in this field to filter results for easier selection
  4. Once you click to apply the desired promotion, you will then see the expiration date for that promotion per line item

Applying promotions to a single line item

  1. Navigate to the Top Navigation: Shopping Cart Icon
  2. In the cart, click the ticket icon on the desired line item

  3. Select your desired promotion. You can also start typing in this field to filter results for easier selection

  4. Once you click to apply the desired promotion, you will then see per line item the expiration date for that promotion

    The promotion will appear beneath any other price modifiers (Pricing Rules). The discount will be shown in the Unit Price and be reflected in the Subtotal. The discount will also be shown on the customer's receipt

How to: Create Promotions In The Cart 

You can also create a promotion on the fly while in the shopping cart! This requires the Can Create Promotions In The Cart user permission to be turned on.
  1. Click the ticket icon on the desired line item in the cart
  2. Enter a Description and Amount for your promotion. When entering the Amount, it is important to remember that a Positive amount = Discount and a Negative amount = Surcharge
  3. Click the + button to complete adding the promotion. The promotion will appear beneath any other price modifiers (Pricing Rules). The discount will be shown in the Unit Price and be reflected in the Subtotal. The discount will also be shown on the customer's receipt

How to: Understand an estimate with a promotion on it

The promo will deduct from the total cost, but keep in mind that estimates can be tweaked until checkout. This means there's a chance the final amount might vary.

 

How to: Remove Promotions

If you have a promotion that you wish to remove, you can do so using the 'X' icon. 
 
When creating a reservation from the business side and generating the estimate, you can remove the promotion by clicking the 'X':

FAQ: Check this out!

I received an error when attempting to apply a promotion to the cart, what does it mean? 

  • If you receive the error stating "Error! Promotion could not be added to the cart" then double-check to make sure the items you are trying to discount are eligible for the promotion, make sure it is not expired and so on

My promotion has expired, why does it still show as an option in the cart? 

  • All promotions that have the status enabled will show in drop-downs on the business side. For example, if this promotion is set to expire on the 16th, but today is the 17th, users will still see that promotion in the drop-downs. To hide expired promotions you must disable the status via Left-hand Navigation: Admin » Manage Promotions. 

Can my customers see a list of promotions in the portal? 

  • No, customers will not see a list of promotions when applying them on estimates. They do not have a drop-down option, only a text box. Customers must enter the promotion code exactly as it is configured. If they do not type the code in exactly they won't be able to apply it. 

If a customer enters a promotion code that is associated with two different promotions, how does the system decide which promotion to apply?

  • When a customer enters a promotion code that matches multiple promotions, the system checks which promotions are valid based on location and product rules. If both promotions are valid, the system will apply the one that was created first. This is determined by the promotion's ID, which is assigned based on the order of creation. To avoid issues, it's best not to use the same code for different promotions.
