Overview: What are we talking about?

Canned Email Templates can be used to send emails to individual customers any time you wish. Your canned email template can use 'variables' like {animal_name} and {last_name} to automatically fill in customer information.

  • All admin users have access to the admin page controlling these settings. Additionally, admin users are able to delegate this particular admin page to other user groups. Non-admin users with access to this page will be able to make edits that affect all locations in the app. For more information see our article on User Groups and Permissions


How to: Create and Use Canned Email Templates.


Creating Canned Email Templates

  1. Navigate to Left-hand Navigation: Admin » Canned Email Templates.

  2. Click the + Add button to add a new canned email template.


  3. At the top of the New Canned Email popup, you'll see the Variables that can be used in the subject line and body (Message) of your template. See below examples.


    • Name: this is the name of the template as it appears in your app and will not be displayed to customers.

    • Subject: this is the subject line for your email. 

    • Message: this is the body of your email.



Editing a Canned Email Template

  1. Navigate to Left-hand Navigation: Admin » Canned Email Templates.

  2. Select the pencil icon to edit the template.



Using Canned Email Templates

You can use your templates to send emails directly to individual customers or in email blasts sent through the Marketing feature. Only users with the Can Email Customers user permission can send emails to customers.


Sending to an Individual Customer

  1. Navigate to the customer's profile and click on their email address, then select Send Email from the drop-down menu.


  2. A panel will appear. Select your email template from the Choose a Canned Email Template dropdown menu.

  3. Your email template will populate into the subject and message fields. Edit the subject and message as needed, then click the Send Email button to send.

    Important! your {variables} should populate the desired information into the email form instead of appearing like {first_name}, {location_name}, etc. If they do not, there is a problem with the variables in your template. Do not send the email.
