Overview: 

Additional services are services that can be added to a reservation or appointment. Additional services can be unscheduled, scheduled without a specialist, or scheduled with a specialist as an appointment-based service. Additional services can also have Service Options.

Helpful Hints: 

  • In Gingr, additional services are services that are scheduled during a reservation. For example, a private playtime that is scheduled while in daycare is considered an additional service (daycare is considered the “reservation type”). Another example would be a Full Groom service that is scheduled during a Grooming reservation. In this example, the reservation type is “Grooming” and “Full Groom” is the additional service that is attached to that reservation type.

  • If you have already created a service for another reservation type, you can add that same additional service to another reservation type by selecting it from the “Add service” box. 

  • All admin users have access to the admin page controlling these settings (Reservation Types and Services Configuration). Additionally, admin users are able to delegate this particular admin page to other user groups. Non-admin users with access to this page will be able to make edits that affect all locations in the app. For more information see our article on User Groups and Permissions

How to: Create an Additional Service

  1. Navigate to Left-hand Navigation: Admin » Reservation Types and Services Configuration and locate the reservation type that the additional service should be associated with. 

  2. Click the blue Manage Services button. Note that once you have additional services set up, you can also use the Default Services button to designate additional services that will be automatically applied to this reservation type.

    Important! Appointment-based default services CANNOT be configured as default services because appointment-based default services must be manually scheduled. Default services only work for scheduled = no (unscheduled) and scheduled = yes (frequency) services.

  3. If you have already created a service for another reservation type and also want it to be available on this one, you can add that same additional service here by selecting it under “Allow an existing service.” If you need to create a new service, click on the grey Create a New Additional Service box.

  4. To customize the additional service settings, reference the field guide below and make any adjustments as necessary. The settings are grouped together in sections to help you find what you need, and a description is displayed for each setting to help you understand what it does.

Field Guide: To all Additional Service Settings

General Settings Description Helpful Hint
Label The name that will be displayed both internally and on the Customer Portal.  
Allowed Locations Select which location(s) this service is offered. If you remove all allowed locations this moves the service to the Disabled section of your Reservation Types and Services Configuration page.
Description Include any information the customer will need to know about the details of the service and its pricing.  This section can include pictures, tables, hyperlinks, videos, and more.
Color Choose the color that will display on the Facility Calendar and on the "add service" section on the dashboard.  
Apply Tax? If enabled tax will be applied to this service on invoices. Manage tax rate and tax settings in mass under Admin » Tax Settings.
Account code Optionally indicate which account code the charges for this booking type should be reported on. Account Codes can be set under Admin » Account Codes.

 

Booking Options Description Helpful Hint
Is this service scheduled? Enable this setting if the service will be scheduled within a reservation or scheduled with a specialist. 

"No" For services that do not need to be scheduled at a certain date/time or with a specialist.

"Yes" For services that are scheduled at a certain date and time. Includes duration, interval, frequency options, and default start time.

"Appointment Based" For services that are scheduled with a specialist. Includes duration and interval. 

Duration This setting is used when the service is scheduled. It determines the amount of time that is occupied when this service is booked.  The duration can be edited per pet at the time of booking. We recommend entering the average duration as the placeholder.
Interval This setting is used when the service is assigned to a specialist schedule. It determines how frequently the service is offered.  Example: If the interval is set to 30 minutes then appointments can be booked at 9:00am, 9:30am, 10:00am etc. If set to 1 hour then appointments will be offered each hour. 
Default Start Time

Default start time is the first time option that will appear when scheduling the service.

If this service doesn't need to be scheduled at a specific time, enter the most common time your facility would complete this service.

Example: enter "1300" if you perform the service around 1pm each day. 
Frequency Options When selected, these options will be available to employees when creating reservations and the system will automatically create the desired number of scheduled services at the selected time.

At least one option must be selected, and we recommend always including the "Once" option.

This only affects scheduled services that are NOT assigned to a specialist schedule. 

Booking Form Questions Optionally ask your customers or staff up to 3 questions for this service. Example: What type of hair cut? Any health concerns?
Automatically charge last checked out service price? If enabled, Gingr will remember the most recent price set for the pet for this service.  This is great for variable-priced items like grooming services.
Remember pet’s last duration for this service? If enabled, Gingr will store the duration of the service per pet and will pull this value for future appointments.  This is per service per pet.
Capacity groups This capacity setting will control capacity by the number of animals who can book this service on a given date. For more information review our article on Setting Capacity Limits.

 

Communication Options Description Helpful Hint
Email Custom Text Text entered into this field can be pulled into automated email templates with the {services_custom_text} variable.  For more information see our article on System Email
Dropoff Times This setting is used only for appointment-based services. When text is input here, the email variable {service_dropoff_times} can be used in the New Appointment Email to enter this text.  

 

Customer Portal Options Description Helpful Hint
Allow booking requests from pet parent portal? When enabled customers can see and add this service to their reservation request from the customer portal. You will see this as "Business Only" on your end, but it's not visible to customers.
Limit service time selection for customers?

When enabled, this will show service time options only within your Hours of Operation.

If disabled, this will show service time options any time between 12:00am - 11:59pm.

This only affects scheduled services that are NOT assigned to a specialist schedule.  
Use for Webcams If your facility has iDogCam or abcKam web cameras, this will enable the customer to view this camera if this service is added to their reservation. For more information see our article about Webcams.

 

Advanced Settings Description Helpful Hint
Delete? Deletes the service from the database entriely.  IMPORTANT: if a service has ever been used before you must not delete it. Doing so will corrupt your data and we may not be able to recover it. If you are at all unsure if you can delete something please contact Gingr Support.

How to: Add Service Options

  1. Navigate to Left-hand Navigation: Admin » Reservation Types and Services Configuration and locate the additional service that you want to create an add-on for by selecting the Booking Category > Reservation Type > Allowed Service > + Add Option.
  2. Click + Add Option. Note that once you have service options set up, you can also use the Default Options button to designate add-on options that will be automatically applied to this additional service when it's added to this reservation type.

General Settings Description Helpful Hint
Name The name that will be displayed both internally and on the Customer Portal.  
Allowed Locations Select which location(s) this type of booking can be made for.

This section can include Pictures, Tables, Website links, and more!
Is Taxed

If enabled tax will be applied to this service on invoices.

Manage tax rate and tax settings in mass under Admin » Tax Settings
Account code Optionally indicate which account code the charges for this booking type should be reported on. Account Codes can be set under Admin Account Codes
Include in Commission If enabled, the service will be included in the commission calculated for services completed by a specialist.   

 

Customer Portal Options Description Helpful Hint
Show on Customer Side

When enabled customers can see and add this service to their reservation request from the customer portal.

You will see this as "disabled" on your end, but it's not visible to customers.

How to: Set a base rate

Important! If Auto Charge Last Time is enabled, leave the base rate at $0.00. Rates can also be set from Admin » Location Default Rates. For more information please see our article about Location Default Rates.

  1. From Admin » Reservation Types and Services Configuration, click the Rates icon under the name of the additional service on any reservation type that service is attached to.

  2. Choose your location.
  3. Click the Additional Services tab.

  4. Set the base rate for the additional service attached to this reservation type.
  5. Click Save Rates.

 

How to: Add an additional service to a Reservation

Click on the Additional Services tab to add any desired additional services and service options/add-ons to the reservation. You can add as many additional services as needed. If you are booking multiple dates and/or multiple pets, you will need to add additional services for each separate reservations. 

Important! Services with the green checkmark are Default Services for this reservation type, meaning they are automatically added to the reservation at the specified frequency.

Important! Appointment-based default services CANNOT be configured as default services because appointment-based default services must be manually scheduled. Default services only work for scheduled = no (unscheduled) and scheduled = yes (frequency) services.

Adding an Unscheduled Service:

  1. Click the service header.
  2. Optionally, choose any relevant service options and add service notes.
  3. Set the price if there is no base rate or if the base rate needs to be changed.
  4. Click Add to Reservation.

Adding a Scheduled Service:

  1. Click the service header.
  2. Optionally, choose any relevant service options and add service notes.
  3. Change the duration if needed.
  4. Choose a frequency option for the service under the When would you like to add this service? section. There are a variety of frequency options you can configure for the service.
  5. If Once is selected, you will need to enter the date to add the service. You can also change the time of the service if needed.
    If another frequency option is chosen, such as Every Day, then the services will populate on the reservations details page for each applicable day after you save the reservation.
  6. Set the price if there is no base rate or if the base rate needs to be changed.
  7. Click Add to Reservation.

Adding Appointment-Based Services:

  1. Click the service header.
  2. Optionally, choose any relevant service options and add service notes.
  3. Select Who would you like to book with? or, if any specialist is desired, click Which Date?
  4. Click the applicable specialist's name.
  5. Select a time or slot appointment.

How to: Manage Additional Services at Multiple Locations

If you are a multiple location app, you might offer certain services that are only available at a specific location or are not offered at a certain location. Luckily, the ability to control which locations these services are offered is easily managed.

  1. Navigate to the Left-hand Navigation: Admin » Reservation Types and Services Configuration page and select a reservation type in which the service is attached and then select the service.
  2. After selecting the service, select the Edit Settings icon at the top of the 4th column that appears.
  3. Click on the Allowed Locations setting field in the General Settings section and select the location you wish to add that additional service to. If you would like to remove a location, click on the little blue x icon next to the location's name to remove it.

  4. Save your changes.

 

 

How to: Disable an Additional Service

If you are discontinuing an additional service, or no longer offer an additional service, you can remove all locations from that additional service to designate it as Disabled. This will place it in the Disabled Types Booking Category.

  1. Navigate to the Left-hand Navigation: Admin » Reservation Types and Services Configuration page and select a reservation type in which the service is attached and then select the service.
  2. After selecting the service, select the Edit Settings icon at the top of the 4th column that appears.
  3. Click on the Allowed Locations setting field in the General Settings section and click on the little blue x icon next to all of the location's names to remove them!
  4. Save your changes.

If you would like to re-instate a disabled option, you can edit that additional service via the Disabled booking category to add the applicable location(s) and then save your changes.

How to: Add Upsell Additional Services to Gingr PreCheck Form
