Overview: What are we talking about?

Nothing needs to be done to "turn on" the report card feature. Report cards that have been created during a pet's stay are automatically linked in a customer's checkout email or can be sent via email or SMS (text message) any time before checkout from the View Report Cards page.

Helpful Hints: Before you begin. 

  • To be sure customers are receiving checkout emails, go to Left-hand Navigation: Admin » System Email and make sure that the Send checkout email is enabled. 
  • To be sure customers are receiving texts, go to Left-hand Navigation: Admin » System SMS and or Send checkout SMS is enabled. 
  • Report cards are available on the customer portal once the pet's reservation has been checked out.
  • Photo/Video uploads on Report Cards are limited to a maximum of 2048 MB.
  • Important! Report cards will not be sent via email or SMS when the global SMS and global email settings are disabled. Check these settings under Left-hand Navigation: Admin » System Email and Left-hand Navigation: Admin » System SMS.

 

How to: Set up Report Cards

Customizing Report Card Text and Option List Questions 

Your app comes with some questions already set up for you, but you can customize them and create new ones. The only fields which cannot be customized are the Choose a Reservation and Attach Pictures/Video questions.

The Friends field will always appear on your report card form, but you can change its name. Navigate to Left-hand Navigation: Admin » Report Card Settings. Click the Report Card Form tab to view the form. You will see your existing report card questions and a Toolbox on the right side of the screen. You will use the Toolbox to add new questions.

There are four question types you can use on your report cards:

Text Input:

Creates free-type response fields that allow the user to type on a single line (max 255 characters), with no text editing options, like this:

To add a text question, click Text Input in the Toolbox and the new field will appear at the bottom of the form.

To edit the question's placeholder name, click the pencil icon that appears when hovering over the field

Multi-Line Input: 

Creates free-type response fields that allow you to type paragraphs and use text editing options. To add a Multi-line Input field, click Multi-Line Input in the Toolbox and the new field will appear at the bottom of the form.

To edit the question's placeholder name, click the pencil icon that appears when hovering over the field, just like the above videos.


Tags:

Tag fields create drop-down menus in which the user can select multiple options. Users can also type into these fields to find the options they wish to select.

To add a Tags field, click Tags in the Toolbox and the new field will appear at the bottom of the form.  To edit the field's placeholder name and options, click the pencil icon that appears when hovering over the field.

Edit the placeholder option names. To add new options, click the green + button. To delete options, click the red - button. Ignore the Default checkboxes. They will not work.

Dropdown:

Create drop-down menus that the user can select only one option. They can also type into the field to find the option they wish to select.

To add a Dropdown field, click Dropdown in the Toolbox and the new field will appear at the bottom of the form. To edit the question's placeholder name and options, click the pencil icon that appears when hovering over the field.

Edit the placeholder option names. To add new options, click the green + button. To delete options, click the red - button. Ignore the Default checkboxes. They will not work.

Report Card Settings: Left-hand Navigation: Admin » Report Card Settings

*Report Card Settings are System-wide and will apply to all locations in a single URL*
 
Setting Description
Allow bulk report card creation Allows a staff member to copy the report card they are creating and bulk create the same report card for all checked in pets. 
Display Report Card as Change the name of Report Cards in your app.
Display Report Card friends as Change the display name of "friends" on report cards.
Show edited at on report card Displays the last date a report card was edited and who edited it. 
Show feeding report on report card

Displays the feeding report and notes for a reservation on the report card.

Show medication report on report card If this setting is turned on, the medication status and notes for that day will appear on the report card for each pet.
Show edited at on report card Displays the medication report and notes for a reservation on the report card.

 

FAQ:

Can I have more than one report card form for different service types? 

It is not possible to have more than one report card form. However, fields that are not filled out on the report card are not visible to the customer so we recommend that you add additional fields to the report card that are labeled by the reservation/service type. This way users will only fill out the fields for the respective service and the customer will only see the fields that have information entered in them.
