Set Up Groomer Schedules

Overview: What are we talking about?

This article will describe how to set up your groomer’s schedules so that they can be booked for the services you have created in Gingr.



Helpful Hints: Before you begin.

  • By now, you should have set up user accounts and both your grooming reservation type and your grooming services as additional services in Gingr.

  • In Gingr, user accounts can be assigned a schedule to be able to be booked with additional services. People who have a schedule that can be booked for a service are called specialists in Gingr.

  • Groomer schedules recur per day of the week and can be overridden if there is an exception on a particular date.

  • Once a groomer schedule is set up, a customer can, for example, schedule a “Grooming” reservation for a “Bath and Brush” service and choose a time or slot for a particular groomer.

Set it Up: Let's get started.

Step 1: Create the shifts that recur per day of the week

  1. Navigate to Left-hand Navigation: Reports & More » Manage Schedules.

  2. Under the Employee column, click the “+” button to add a groomer to the schedule.

  3. Select the first groomer that you want to create an availability for.

  4. Click Save and find your groomer’s name on the calendar.

  5. Add your first recurring shift for the groomer by clicking the “+” button under the day of the week you want to create a shift for.

  6. Select Specialist Shift.

  7. Choose the Grooming Service that you want to create a shift for from the Service drop-down.

  8. Choose either Slot Based or Time Based based on the following criteria:

    • Slot Based: Choose this option if you have a single drop off time at the beginning of the day and the groomer’s schedule does not have specific drop off times.

    • Time Based: Choose this option if your groomer has animals drop off at specific times throughout the day.

  9. If you chose time-based, enter a Start and End time for time based availabilities.

    • The start time will be when the first appointment can be booked. The end time will be when the groomer is no longer available meaning that the last appointment slot will be before the end time (depending on the additional services interval setting).

  10. Enter a capacity/number of slots using the following guidelines:

    • Slot Based: Enter the maximum number of animals that the groomer should take in a day.

    • Time Based: Enter the maximum number of animals that the groomer should take per drop off time.

  11. Set Apply to All Future Shifts to Yes.

  12. Save the shift.

  

 

Step 2: Copy shifts and finish recurring schedule

  1. Select a shift to open it and click the copy icon.

    • Only copy a shift if the same shift should apply to other days of the week.

  2. Select the other days of the week that this shift should apply to.

  3. Click Copy Shift.

  4. For any days that have different shifts, follow Step 1 to create a new recurring shift for any remaining days.

 

 

Step 3: Repeat

  1. Repeat Step 1 and Step 2 until your groomer’s recurring schedule is fully built for the week.

 

 

Step 4: Commission and the customer portal

  1. Click the Manage Specialists button in the top right of the page.

  2. Optionally set the commission percent that the groomer should earn when performing this service (entered in a 00.00 format).

  3. Set Show to Customers to Yes or No depending on if you want this groomer’s availability to show on the customer portal.

  4. Save your changes.

 

  

Step 5: Copy availability to other groomers

  1. Click the Manage Specialists button in the top right of the page.

  2. Click the copy icon.

  3. Select any other trainers or services to copy this shift availability to.

  4. Click Copy Specialist.
