Set Up Board and Train Lodgings/Runs

Overview: What are we talking about?

One way that Gingr can keep track of the animals in your facility is by lodging/run. If your facility has lodgings, you can input them into Gingr to start taking advantage of the capacity features, the lodging calendar, and more.

Helpful Hints: Before you begin.

• In Gingr, runs are referred to as lodgings.
  
  
• Before you get started, it’s important to understand your lodging options that you want to put into Gingr. In Gingr, lodgings can be organized into “areas”. For example, your standard lodgings might be organized into an Area called “Standard” so that you can better organize a large number of lodgings.
  
  
• Take a moment to think about your lodging configuration and how you might want to organize them in Gingr. Common examples are to create “Areas” by the type of lodging or by their physical location in your facility. This organization might look like:
  
  Area: Deluxe Suites
  
  Lodgings:
  • Deluxe Suite 1
  • Deluxe Suite 2
  • etc.

Set it Up: Let's get started.  

If you also offer regular boarding and have already set up your lodgings, then skip to Step 4: Bulk Editing Lodgings.

Step 1: Create Area

1. Navigation to Left-hand Navigation: Admin » Manage Areas/Lodgings.
   
   
2. Choose your Location.
   
   
3. Click Add Area and configure the following fields:
   
   
   • Location: Choose your location that you want to create the area for.
     
     
   • Name: Name the lodging area.
     
     
   • Description: Optionally enter a description of the area.
     
     
4. Click Create.

Step 2: Create Lodgings

1. Select your newly created area from the list below.
   
   
2. Click Add Lodging and configure the following fields:
   
   
   • Area: Choose the area you are creating lodgings for.
     
     
   • Name: Name the lodging.
     
     
     • You can create lodgings with sequential names in bulk (e.g. Standard Run 1, Standard Run 2, Standard Run 3, etc) from this screen. If you want to create lodgings in bulk in this way, then do not include the number in the name field. Gingr will automatically add the number to the name for you.
       
       
   • Description: Optionally enter a description for the lodging(s).
     
     
   • Maximum # Animals: Enter the maximum number of animals that you will allow to be booked in the lodging(s).
     
     
     • This will help you manage capacity using Gingr’s capacity tools.
       
       
   • Maximum Weight of Animals: Enter the maximum, combined weight of animals that you will allow to be booked in the lodging(s).
     
     
     • If you have both Maximum # Animals and Maximum Weight of Animals set for all of your lodgings, then Gingr can automatically assign lodging to reservations for you.
       
       
   • Reservation Types: Choose all of the reservation types that the lodging(s) should be an option for.
     
     
     • If lodging is not assigned to a given reservation type, then it will not be able to be assigned for that type of reservation.
       
       
   • Lodging Type: Optionally assign a lodging type if you need to set up lodging transfer fees.
     
     
     • We will cover lodging transfer fees later on in your onboarding process.
       
       
   • How Many Lodgings to Create?: If you want to create multiple lodgings in bulk, enter the number of lodgings that you want to create.
     
     
   • What’s the Starting Number for This Lodging?: If you are creating lodgings in bulk, Gingr will number the lodgings sequentially (Standard Run 1, Standard Run 2, etc.). Enter the number that the first lodging should start with. Gingr will sequentially number the remaining lodgings.
     
     
3. Click Create.

Step 3: Repeat

1. Repeat steps 1 and 2 to create areas and lodgings for any remaining lodgings that you have in your facility.

Step 4: Bulk Editing Lodgings

To add, remove, or change the reservation types, capacity, lodging types, or areas of lodgings that you have already created, then follow the steps below: 

1. Individually Select any of the lodgings that you need to update or Select All lodgings at a location or within an area.
   
   
2. Click Bulk Update Lodging.
   
   
3. Update any of the following fields to change these settings for all of the lodgings selected:
   
   
   • Area: Editing this field will change the assigned area for all of the selected lodgings.
     
     
   • Maximum # Animals: Editing this field will change the # animal capacity for all selected lodgings.
     
     
     • Adding a capacity here will help you manage capacity using Gingr’s capacity tools.
       
       
   • Maximum Weight of Animals: Editing this field will update the maximum, combined weight of animals that you will allow to be booked in the selected lodging(s).
     
     
     • If you have both Maximum # Animals and Maximum Weight of Animals set for all of your lodgings, then Gingr can automatically assign lodging to reservations for you.
       
       
   • Lodging Type: Optionally assign a lodging type if you need to set up lodging transfer fees.
     
     
     • We will cover lodging transfer fees later on in your onboarding process.
       
       
   • Reservation Types: Editing this field will bulk assign any additionally selected reservation types to the selected lodgings.
     
     
     • If you have already created your lodgings when setting up boarding, then use this to add Board and Train as a reservation type to your lodgings.
