Overview: 

Set hours of operation by day of the week, reservation type, or for a specific date. Hours of operation control times that customers and staff can select for drop-offs and pick-ups.

This article includes:

 

Helpful Hints: 
  • Only those in the Admin user group are able to set up and manage Hours of Operation.
  • Mark a day of the week or reservation type as unavailable by toggling the Closed setting to 'on'.
  • Important: Hours of Operation do not affect the New Appointment Page or your specialists' schedules. 
 

System-Wide Settings: 

These settings will apply to all locations in the URL.

Field Guide:

Field Name Description Helpful Hint
Default start time

Input the first time that should appear when using the time picker to schedule a reservation.

 
Default end time

Input the last time that should appear when using the time picker to schedule a reservation.

 
Timezone

Enter the default timezone for your app. Locations in different timezones can be configured with location settings.

Gingr references the location's set timezone for all functions. 

 

 

Location Settings: 

Adjusting these settings will affect the selected location(s) in your app.

Timezone

Select the timezone for this specific location. 

Gingr references the location's set timezone for all functions. 

 

 

 

Recurring Hours of Operation 

Hours that are recurring on set days of the week.

To set recurring hours of operation:

  1. Navigate to Left-hand Navigation: Admin » Hours of Operation.
  2. Locate the Hours of Operation tab. 
  3. Select Location Name.
  4. Select  Recurring (day of the week)
  5. Click +Add Recurring Hours
  6. Fill out the form using the field guide below.

Select which day's of the week these hours will apply to.

Click "Select All" to apply the hours Monday-Sunday. 

Closed

Toggle this on if your facility is closed on this day every week

 
Hour Type

What type of hour block is this?

  • Drop Off: This type of hour block would only allow for staff and customers to select a reservation start time 
  • Pick Up: This type of hour block would only allow for staff and customers to select a reservation end time.  
  • Both: This type of hour block would allow staff and customers to select a reservation start or end time. 
You can enter multiple hour types for the same day of the week.

Optionally choose if these hours apply to one or more reservation types. Leave blank if these hours apply to all reservation types.

 
 
Specific Date Hours of Operation 
 
Hours specific dates or date ranges. 
 To set specific date hours of operation:
  1. Navigate to Left-hand Navigation: Admin » Hours of Operation.
  2. Locate the Hours of Operation tab. 
  3. Select Location Name.
  4. Select Specific Date
  5. Click +Add Specific Date Hours
  6. Fill out the form using the field guide below.

Single Date

Select a single date that these hours apply to. 

Click 'Add Another' to add a second date that these hours apply to. 
Date Range

Enter a date range for these hours to apply to. 

 
Closed

Toggle this on if your facility is closed on this date.

 
Hour Type

What type of hour block is this?

Disabled Dates

In Gingr, you can optionally set a date (or dates) as Disabled for things like holidays, facility closures, etc.

Disabling a date in the system will not allow a user (on the customer side or the business side of the app) to create a new reservation that has a start or end date that falls on the disabled date.  

Important: Reservations can span a disabled date. 


Adding a Disabled Date

  1. Navigate to Left-hand Navigation: Admin » Hours of Operation.
  2. Scroll down to Disabled Dates.
  3. Click Add New to create a new disabled date range and configure the following fields:

Set up multiple dates/date ranges at a time by selecting +Add Another Date.
Recurring Every Year If the facility will always have these hours on this date every year, check this box.   

 

 

Deleting a Disabled Date

  1. Navigate to Left-hand Navigation: Admin » Hours of Operation.
  2. Select Disabled Dates.
  3. Click the Trashcan icon next to the Disabled Date you would like to remove. If removing multiple, click the checkboxes next to the dates and then click the Delete Selected Dates button.

Permission Settings

Left-hand Navigation: Reports & More » Groups.

Setting Description Helpful Hint
Override Hours of Operation If enabled, users can create reservations that start or end outside the set Hours of Operation, as long as the hours fall within the default start and end times configured in system-wide settings. This is generally used for special circumstances surrounding drop off and pick up times.
