(Legacy) How to Use Standing Reservations

Overview: What are we talking about?

Legacy: Standing Reservations are now a deprecated feature. There will be no future improvements to this feature. In place of this feature, Gingr now uses Recurring Reservations. Recurring reservations are a lot more flexible in terms of dedicated reporting visibility, ability to services, and more. If you are currently using Standing Reservations, please follow these directions for converting existing standing reservations to Recurring Reservations instead:

The Standing Reservation feature will be sunset in the near future; however, Gingr will announce the phasing out of this feature well ahead of time.

Helpful Hints: Before you begin..

  • The Standing Reservations feature allows you to create repeating reservations for pets that come to your facility regularly; for example, a dog that attends daycare every Monday and Wednesday. Instead of pre-booking several of the same reservation, you can create a Standing Reservation.

  • These reservations can be easily edited or put on hold (pre-canceled) for a certain date range. In this article, you will learn how to view, edit, pre-cancel (put on hold), and create standing reservations.

  • Clicking the +Add to Active Campaign button will add every customer with a standing reservation to any un-sent marketing campaigns you have created.


How to: 
Use Standing Reservations.

View All Existing Standing Reservations 

To view all standing reservations at once, navigate to Left-hand Navigation: Reservations » Standing Reservations.



From here you can:

  • Search  for a standing reservation using the search bar.

  • Create a New Standing Reservation.

  • View the complete schedule and details of each standing reservation.

  • Pre-cancel (or put on hold) a reservation for a period of time.

  • Delete a standing reservation.

Create a New Standing Reservation
  1. Navigate to the Standing Reservations page (as shown above).

  2. Click New Standing Reservation button.


  3. Fill out the short form:

    • Select the Location.

    • Select the Type of reservation.

    • Enter the name of the Pet.

    • Enter an End Date for this standing reservation. If you don't know the exact expiration date, simply pick a date in the distant future.

    • Choose Days of the week that the pet will attend for this standing reservation.


  4. Click Save and Create Another or Save and Go Back. Now the reservation will be automatically created for each of the selected days, during the period you have indicated. On the scheduled days, the reservation will listed in the Expected Today section of the Dashboard.




Pre-Cancel a Standing Reservation 

Pre-cancel means you will put the reservation on hold for a certain date range. The reservation will automatically begin booking again once the date range has passed.  

  1. Navigate to Left-hand Navigation: Reservations » Standing Reservations.

  2. Use the search bar, or scroll through the list to find the reservation you wish to pre-cancel.

  3. Click the - Cancel Dates button.


  4. Enter the date range that you wish to place this reservation on hold. It can be as little as one day, or as long as you like.


  5. Click Cancel to save the pre-cancellation period. Alternatively, you can click the - Cancel Date(s) of Standing Reservation button at the top of the Standing Reservations page, and then select the reservation you wish to pre-cancel from the drop down menu.
Edit a Standing Reservation 
  1. Navigate to Left-hand Navigation: Reservations » Standing Reservations.

  2. Use the search bar, or scroll through the list to find the reservation you wish to Edit.

  3. Click the Edit button.


  4. Make your changes.

  5. Click Save Standing Reservation to save your edits.
Delete a Standing Reservation 

Deleting the standing reservation will not delete record of the reservation in the past, it will simply permanently cancel the reservation for all future dates. 
  1. Navigate to Left-hand Navigation: Reservations » Standing Reservations.

  2. Use the search bar, or scroll through the list to find the reservation you wish to Delete.

  3. Click Delete button.


  4. Gingr will ask you to confirm. Click OK to complete deletion, or Cancel to discontinue.




System-Wide Settings:

  1. Navigate to Left-hand Navigation: Admin » System Email.

  2. Scroll down to find the following settings and toggle yes/on to enable or no/off to disable.


Setting Description Helpful Hint
Send new standing reservation email If enabled (set to yes/on), an email will be sent to the customer's email address when a new standing reservation is created.  

You can toggle on the New Standing Reservation Email or click the pencil icon to edit.



Setting Description Helpful Hint

Send same-day standing reservation cancellation email

If enabled (set to yes/on), the reservation cancellation email template will send when a standing reservation is cancelled for today. This setting is set to OFF by default.  

You can toggle on the Same-Day Standing Reservation Cancellation email by navigating to the Cancellation Email and click the pencil icon to edit.


From the popup, you can enable the Same-Day Standing Reservation Cancellation email by toggling to Yes/On. You can also optionally edit the cancellation email.
