- You can search by customer phone number or email address to find a customer in the app.
- What appears on the Details Tab of both the Owner and Animal Profile is dependent on how you configure your Owner and Animal Forms. You can add custom fields to the Details tab by navigating to Left-hand Navigation: Admin » Owner Form and Admin » Animal Form.
- Click on an Owner/ Customer's name from anywhere you see their name, such as the Dashboard (Checked In, Expected Today, etc. sections), or...
- Type either the Owner or Animal's name in the predictive search box in the upper left of your app, and click on the Owner's name.

- Click the Pencil Icon to edit and update all the Owner profile, or any Pets assigned to an owner.
- Click Upload File Arrow to upload documents, such as immunization records, photos, or anything else you like.
- Click the Printer Button to print the owner record.
- Click the Calendar icon to create a new reservation for this customer's animal(s).

Animals: All of the customer's pets are listed in the upper right. Click on any pet's name to navigate directly to their profile page.

Current Balance: A red number indicates that the customer owes this amount, and a green number means that they have a credit on their account. To collect payment on this balance, click Add to Cart.

Owner Contact Information: All of the Owner contact info is listed here. Both the phone number (if on a smartphone) and email address are clickable. Click on the customer's email address to quickly send an email from your business's default email address.
Created By indicates who created the Owner profile originally. Self Registered means that the customer created their profile from the customer side of Gingr. Otherwise, an employee's name would be written here.
View Email History will allow you to navigate to the Email Log, showing a complete history of email communications with this customer. -
Emergency and Veterinary Contact Info: All owner supplied emergency and veterinarian contact information is listed here. These phone numbers are also clickable for quick calling on a mobile device.

Card on File: You will be able to see summarized details of the card that a customer has on file with you. You can also delete a card here as well.

Packages: From here you can see the customer's current packages and balances, view their package history and manually deduct package credits if necessary. Current Packages are those that are in use now and still have unused credits. Used/ Expired Packages are those that no longer have credits available, or have expired.

Owner Notes: The owner can write notes when they register via the customer portal, or an employee can add them when setting up or editing an owner profile. If the owner indicated any authorized persons (people who can pick up their pets) when they registered online, those people's names can also be listed here.
Important! These notes are always visible to the customer. Only write information here that you would want them to see.

Owner Rates: If you want to extend special pricing to particular customers, you can view and manage owner rates here. Special rates that you set up here will override the default rates at your location for these services, for this customer. To edit the rates, or set up new owner rates, click Manage Rates. You will be navigated to a page where you can input special prices for the listed services.
Important! We do NOT recommend using this feature. It is advisable to just stick with your location's default rates for services, and use coupons in the shopping cart if you want to offer a discount or special rate for a customer.

Campaigns: In one click you can add this customer to an active (unsent) marketing campaign. To add them to your current campaign, click Add to Campaign.
The Reservations tab is where you can manage all aspects of current and past reservations and standing reservations. From here you can View, Edit, and Delete reservations as well as print run-cards etc.

Add a Credit to add monetary credit to the customer's account.

Add a Debit to deduct monetary credit from the customer's account.

Print Statement to view and or print a statement of account, listing all transactions and the current account balance.
- POS Transaction or Receipt to view the itemized receipt for this transaction.
- Type your note in the dialog box.
- Click the + icon.

You can view a list of all owners from Left-hand Navigation: Owners & Pets » View all Owners.
From here you can:

View an Owner's profile by clicking the i icon.
- Owner Debt report, will generate a list of Owner's with due balances
- Owner Credit report, will generate a list of Owner's with credit balances
- Owners to Spreadsheet will generate an export of all existing owners/pets in your Gingr application. You must have permission to export this report.
- Reservations by Owner will generate a report per owner and their pets with reservations for a given date range.
Animal Profile Page Overview
Check the pet in for your default Quick Check-In reservation type.
Click the down-arrow to check in for a different reservation type.

Edit the Owner or Animal's Profile.
- Make a New Reservation.
Details Tab:
- View the Animal's Information.
- Update weight by clicking the scale button.
- Add/Remove/Edit Custom Icons.
- View Owner Notes, Feeding Notes, etc.
Immunizations Tab:
If the pet has missing or expired vaccination records, the Immunizations tab will be red and a number will display with the number of records that are missing or expired

Red means expired or missing.

Yellow means it will expire within 30 days.

White means the record is current or not required
Click the Owner Files sub-tab to View Owner uploaded files/ immunization records. Click on the file name to download and view it on your computer/ device.
- Click the Vet Info sub-tab to view veterinarian info. Click the pencil icon to edit vet info.
Incidents Tab:

View the complete history of incidents for this pet.

Create a new incident report for this pet by clicking Add Incident.

Edit an incident by clicking Edit Incident.

Delete an incident by clicking Delete Incident.
Report Cards Tab:
- View the full report card, just as the customer will see it, by clicking View Report Card.

Send this report card to the customer now by clicking Send via Email or Send via SMS.
Reservations Tab:
Checked-In Reservations that are currently taking place have the following options from the Actions menu. You can select:
- Navigate to the Reservation Details page, where you can view every aspect of the reservation in full detail, by clicking View Reservation.
- Navigate to the Edit Reservation page where you can edit every aspect of the reservation, by clicking Edit Reservation.
- Navigate to a printable Run Card page by clicking Print Run Card. [To print; Control P (PC) or Command P (Mac).]
- View Estimate to view the reservation estimate.
- Create a new report card for this reservation by clicking Create Report Card.
Unconfirmed/Confirmed Reservations that will take place in the future have the following options from the Actions menu. All of the above listed, plus:
- To cancel this reservation, but keep a record of it, click Cancel Reservation. You may then optionally input a cancellation reason. In the pop-up, click OK to complete cancellation.
- Navigate to a printable cost estimate for this reservation by clicking View Estimate.
- To delete this reservation and delete all record of it, click Delete Reservation.
Important! We do NOT recommend deleting reservations unless the reservation was created in error. For cancellations and no-shows, it is better to select Cancel Reservation, so that a record remains. Only users with the can delete reservations user permission can delete them.
Completed Reservations have the following options from the Actions menu. You can select:
- Navigate to the reservation details page, where you can view every aspect of the reservation in full detail, by clicking View Reservation.

Create a new report card for this reservation by clicking Create Report Card.
Cancelled Reservations have the following options from the Actions menu. Select:

To delete this reservation and delete all records of it, click Delete Reservation.

Additional Details Tab:
What you find in this tab will depend on how your app's Animal Forms are set up. Your business may use this tab to store information that was gathered when the pet's record was created by the customer, but which you don't need to see frequently. (See: Manage Forms article on how to tag fields to the Additional Details Tab.)
View All Animals
You can view a list of all Animals from Left-hand Navigation: Owners & Pets » View all Pets.
From here you can:

View the Animal's profile by clicking the i icon.
- View the Animal's Reservation History by clicking on Reservations.
- View and Manage Immunizations by clicking on Immunizations.
- Create an Incident by clicking on Incidents.

How do I delete an Animal or Owner?
In most circumstances, we do not recommend deleting an animal. When an animal or owner is deleted from Gingr, some financial reporting is impacted. Alternatively, you can deactivate the animal, which means that all of their future reservations will be canceled and this animal will no longer show up on the customer side of the app, nor in searches on the employee side. By deactivating an animal, you get all of these benefits while keeping your records intact.
If you have a duplicate pet under the same owner, you can also merge them together from Left-hand Navigation: Admin » Merge Data. Merging animals and owners do not affect financial reporting. Only users of the Admin group can access this area of Gingr.
Deactivate an Owner or Animal:
- Navigate to the animal's profile, click Edit near the top right of the page and select the animal that you'd like to edit:
- On the Edit Animal page, scroll down to find Deactivate and select Yes/On
It is also recommended that you append something to the animal's name, so that, if this animal is encountered in the system by an employee at some point in the future, it is clear what happened. For example, BANNED, DECEASED, ADOPTED, etc.
- Save your changes.
Deleting an Owner or Animal:
If you have a duplicate owner profile or for another reason want to delete an owner or animal profile, you can do so if there are no past or future reservations on record for that owner or animal.
- Please first confirm that the customer or pet has no past or future reservations on their account.
- Navigate to Left-hand Navigation: Owners & Pets » View All Owners/View All Pets.
- Use the filter boxes to find the customer or pet.
- Scroll to the last column on the table and if the owner is eligible to be deleted there will be an option to click Delete.
Can I view owner files instead of downloading them?
When you click the Download File button for a file on an Owner's page, your browser may download the file when you really just want to view it. We understand! What happens when you click that "Download File" button will be different depending on four things:
- Your browser (i.e. Chrome, Safari, Firefox, etc.)
- Your operating system (i.e. Windows 7, OSX 10, iOS, Android...)
- The settings in your browser and operating system.
- The File Type.
For example, in Chrome for OSX, with the default settings, PDF and .png files open a new tab, where I can view the file, as well as download it, whereas the browser will just download a .MOV file instead of letting you view it in another tab.
Sorry if this doesn't work the way you want it in your personal configuration. We've built it so that, regardless of your browser, operating system, or file type, you can view the file, one way or another.
How do I find an Owner or Animal ID #?
You can find the Pet and Owner ID #'s Within the URL (unique webpage address).
- Navigate to a customer or pet profile page.
- Once you are on the page and viewing the customer or pet profile, The ID number will be the numbers at the end of the URL
(In this example, Fred Ladues animal ID # is "6". To find the customer ID for Alex, simply navigate to the owners' profile page by clicking on their name, and check the URL.)
If using Google Chrome, you can simply hover your cursor over the Customer or Pet name, and a URL will appear in the bottom left side of the browser window displaying the website address (just like you see above) containing the customer or pet ID. No need to click to actually navigate to the customer or pet profile!
