Nothing needs to be done to "turn on" the report card feature. 
Report cards that have been created during a pet's stay are automatically linked in a customer's checkout email or can be sent via email or SMS (text message) any time before checkout from the View Report Cards page. 

 

To be sure customers are receiving checkout emails or texts, go to Left Navigation > Admin > Search Admin Items: System Wide Settings and make sure that the Send checkout email and or Send checkout sms is set to Yes/on. This setting means that customers will be emailed or texted every time they checkout.

 

Report cards are always considered sent once an animal checks out (even if you don't send checkout emails or sms), as they are automatically accessible to the owner in the Gingr customer portal.


Important!: Report cards will not be sent via email or SMS when the global SMS and global email settings are set to no/off, though, if you check out the pet or attempt to send the report card via email or SMS, the report card will be considered sent by the system and will be visible on the customer side of the app.  


This article covers:

  • customizing text and option list report card questions
  • changing the name of the "Friends" field
  • changing the display name for report cards (i.e. changing the name of report cards to "Wag Reports" or whatever you wish)
  • other report card related settings



Customizing Report Card Text and Option List Questions:


Your app comes with some questions already set up for you, but you can customize them and create new ones. The only fields which cannot be customized are the Choose a Reservation and Attach Pictures / Video questions. The Friends field will always appear on your report card form, but you can change its name.


Navigate to Left Navigation > Admin > Search Admin Items: Report Card Questions. You will see your existing report card questions and a Toolbox on the right side of the screen. You will use the Toolbox to add new questions.



There are four question types you can use on your report cards:

  • Text Input creates free-type response fields that allow the user to type on a single line (max 255 characters), with no text editing options, like this:


    To add a text question, click Text Input in the Toolbox and the new field will appear at the bottom of the form.


    • to edit the question's placeholder name, click the pencil icon that appears when hovering over the field
    • Note: ignore these fields in the edit panel:




  • Multi-Line Input creates free-type response fields that allow you to type paragraphs and use text editing options, like this:



    To add a Muti-line Input field, click Multi-Line Input in the Toobox and the new field will appear at the bottom of the form.

    • to edit the question's placeholder name, click the pencil icon that appears when hovering over the field

      Note: ignore these fields in the edit panel:



  • Tags fields create dropdown menus which the user can select multiple options from. Users can also type into these fields to find the options they wish to select.


    To add a Tags field, click Tags in the Toolbox and the new field will appear at the bottom of the form.


    • to edit the field's placeholder name and options, click the pencil icon that appears when hovering over the field
    • Edit the placeholder option names. To add new options, click the green + button. To delete options, click the red - button. Ignore the Default checkboxes. They will not work.

      Note: ignore these fields in the edit panel:

  • Dropdown fields create dropdown menus which the user can select only one option from. They can also type into the field to find the option they wish to select. Like this:


    To add a Dropdown field, click Dropdown in the Toolbox and the new field will appear at the bottom of the form.


    • to edit the question's placeholder name and options, click the pencil icon that appears when hovering over the field
    • Edit the placeholder option names. To add new options, click the green + button. To delete options, click the red - button. Ignore the Default checkboxes. They will not work.

Changing the name of the "Friends" field:


There is a field on your report cards which allows the user to select the names of other pets the pet may have enjoyed spending time with. 


You can change the display name of this field by navigating to Admin > Search Admin Items: System-Wide Settings and finding the Display report card friends as field. Type a new name into the field then save your change by clicking the Update changes button at the bottom of the page.



Customizing the name of "Report Cards":


You can call your Report Cards whatever you wish. If you change the name of them, your customized name will appear in both the business and customer interfaces, instead of "Report Cards."


To change the name of Report Cards, navigate to Admin > Search Admin Items: System-Wide Settings and find the Display report cards as field and enter the new name. Then, click the Update changes button at the bottom of the page.


Important!: use the singular form of the new name. The system will pluralize it for you in the appropriate places. I.e. if you want to call report cards "Wag Reports," you will enter "Wag Report" and the system will display "Wag Reports" when referring to multiple report cards.



 Other Settings: 

You have the option to have certain information in your app automatically appear on Report Cards. To manage these settings navigate to Admin > Search Admin Items: System-Wide Settings.  For each setting, select Yes/On or No/Off:
  • Show feeding report on report card - If this setting is turned on, the feeding status and notes for that day will appear on the report card for each pet. 
  • Show medication report on report card - If this setting is turned on, the medication status and notes for that day will appear on the report card for each pet. 
  • Show edited at on report card - If this setting is turned on, the customer will be able to see when the report card was last modified/created.
  • Allow bulk report card creation - this option allows your business to create a new report card for every checked in pet, with just a few clicks. The only thing that will appear on these report cards is information from the pet's feeding and medication reports and then they can be edited later. Do not use this option if that is not what you intend.
