Hours of Operation settings determine the allowable times reservations can be booked. Hours of Operation are very flexible. This article will show you how to set up:  

  • Default start and end times - A System Wide Setting that will determine the earliest and latest times an internal employee (administrator) can create a reservation for a customer. 
  • General hours of operation- Used if your facility allows customers to pick up and drop off during general office hours for all reservations. 
  • Specific hours for a Reservation Type - Used if your facility holds different hours and open days for different Reservation Types (Boarding, Daycare...etc). 
  • Pickup & Drop-off Hours - Used if you require customers to pick-up or drop-off animals at specified times at the beginning and end of day. 
  • Mid-day Closing Times - Used if your facility is closed to new reservations and appointments in the middle of the day.

Note: Only those in the Admin user group are able to set up and manage hours of operation.

Default Start and End Times:
Default start and end times are the absolute earliest and latest anything can be booked within your facility. Your system will default to these start and end times if no other Hours of Operation are defined for a given day. If you have defined hours of operation beyond these default start and end times, this will allow an administrator to override your hours of operation up until this earliest and latest default start and end time.


Note: Refer to the bottom of this article to see the user permission for overriding hours of operation. 


For Example: If you have hours of operation set up for boarding between the hours of 8am and 7pm, but your default start and end times are from 7am to 9pm, a customer will be able to book a reservation between 8am and 7pm, but an internal administrator will be able to book them a reservation between 7am and 9pm. 


To set your default start and end times:


  1. Navigate to Left Navigation > Admin > Search Admin Items: System-Wide Settings.
  2. Scroll down to find Default start time and Default End time.
  3. Enter the default start and end times in 4-digit military time, with no special characters.

    Important!: These times must be entered in military time.



  4. Click Update Changes to save your settings.




General Hours of Operation:


General Hours of Operation are used if your facility allows customers to pick up and drop off during general office hours for all reservations.

 

Important!: You must set up hours for days the facility is closed. If no hours are set up for a certain day, the time-picker will default to the Default Start & End Times in your System Wide Settings. These hours will be set up with an open time "0000" and close time of "0000" for each day of the week the facility is closed. 


Example:  

  • Monday - Friday 7am to 9pm 
  • Saturday - 9am to 6pm
  • Sunday - Closed


To set general hours of operation: 

  1. Navigate to Left Navigation > Admin > Search Admin Items: Hours of Operation.
  2. Click Add Hour.


  3. Select the Location.
  4. Type: choose both to create a block of time where both pick-ups and drop-offs are allowed.
  5. Choose a Day of the Week.
  6. Do not use the Date field.
  7. For General Hours of Operation, do not choose a reservation type. This will allow the general hours of operation to apply to all reservation types.  (We will show you how to set up specific reservations types in the next section.)
  8. Enter the Open and Close hours in 4 digit military time with no special characters.

    Note: To close the facility for that day of week, set your hours from midnight (0000) to midnight (0000).


  9. Click Save.
  10. Repeat until you have set up each day of the week.



This is an example of a facility that is closed on Sunday:






























Specific Hours for a Reservation Type:


Hours of Operation can be specific to a Reservation Type. For instance, if you offer Daycare Monday - Friday, but only allow Boarding reservations on Saturday and Sunday, you may define hours on the weekends for only boarding while remaining "closed" all other Reservation Types (i.e. Daycare and Grooming). 


To define specific hours for a reservation type:


  1. Navigate to Left Navigation > Admin > Search Admin Items: Hours of Operation.
  2. Click Add Hour.


  3. Select the Location.
  4. Choose "both" to create a block of time where both pick-ups and drop-offs are allowed
  5. Select the Day of the Week.
  6. Do not use the Date field
  7. Enter Open and Close times in military format.
  8. Select the Reservation Type that these hours will apply to for this day of the week.


  9. Click Save.
  10. Repeat until you have set up each day of the week for this reservation type, and any other reservation types for which you wish to set special hours.

    Important!: Hours of Operations Settings with a Reservation Type override the general hours of operation for that day of the week.
 
This is an example of allowing Boarding on Sunday, while remaining closed for Boarding every other day of the week:


 


Pickup and Drop-off Hours:


If you restrict pick up and drop off hours to specific times during the day, you can also add start blocks and end blocks to each day for your reservation types as necessary. These will override the general hours of operation for that specific reservation type. 


Example:

  • Drop Off Hours - 7am to 9am
  • Pick Up Hours - 4pm to 6pm


To set up Drop-off Hours: 

  1.  Navigate to Left Navigation > Admin > Search Admin Items: Hours of Operation.
  2.  Click Add Hour.



  3. Select the Location.
  4. Choose Type "start"
  5. Choose the Day of the Week.
  6. Do not use the Date field
  7. Enter the drop off hours in military time. Start time is when customers can begin dropping off and end time is when drop off time ends.
  8. Select the Reservation Type that the drop off times will apply to.
  9. Click Save.
  10. Repeat until you have set up each day of the week for this reservation type, and any other reservation types for which you wish to set special hours.



To set Pickup Hours:


  1. Navigate to Left Navigation > Admin > Search Admin Items: Hours of Operation.
  2. Click Add Hour.



  3. Select the Location.
  4. Choose Type "end"
  5. Choose the Day of the Week.
  6. Do not use the Date field 
  7. Enter the drop off hours in military time. Start time is when customers can begin dropping off and end time is when drop off time ends.
  8. Select the Reservation Type that the drop off times will apply to.
  9. Click Save.
  10. Repeat until you have set up each day of the week for this reservation type, and any other reservation types for which you wish to set special hours.



When finished, it should look something like this:







Mid-day Close:


If you would like to disallow reservations to be made during the middle of the day, you can create mid-day close time blocks. 


  1. Navigate to Left Navigation > Admin > Search Admin Items: Hours of Operation.
  2. Click Add Hour.
  3. Select the Location.
  4. Select Type "both."
  5. Choose the Day of the Week.
  6. Do not use the Date field
  7. Enter the first time block in military time. For Example: 8am - 10am: Open = 0800 and Close = 1000.
  8. Select the Reservation Type that the drop off times will apply to.
  9. Click Save. Repeat steps 1 through 4 (be sure to choose the same day and type "both").  
  10. Enter a second time block in military time. For Example: 2pm - 6pm: Open = 1400 and Close = 1800.
  11. Select the same Reservation Type as you did for the first time block.
  12. Click Save.


This will now create two separate time blocks for both drop-offs and pickups while restricting reservations between 10am and 2pm: 


















Special Hours of Operation on Specific Dates:


When setting up general hours of operation settings, as seen above, you will not enter dates into the date field, but when you want to set up special hours for special dates, such as holidays, you will use the settings as you have above, except that you will use the Date field and you will not use the Day of week field.


For example, if you wish to disallow all pick-ups and drop-offs on Christmas day, for all reservation types:


If you wish to only allow pick-ups in the morning (A) on new year's day, but no drop-offs (B):

To further specify, you can set these up using specific reservation types.


Important!: if your specific date hours of operation settings do not cover all of your reservation types and all of the times you are usually open on those days of the week, your default start and end times and general hours of operation settings will be in effect for any times not covered by the specific date settings.



Field Guide: 


Location id

Choose your location.

Type

Think of these options as time blocks. Either you can have continuous hours or split hours in a day. 


Start - The starting time block. This will be the "drop-off" hours

Set the open and close times for the beginning and ending of the drop-off hours.

End - The second time block in a day. This will be for "pick-up" hours at the end of the day. 

Set the open and close times for the beginning and ending of pick-up hours. 


Both - Continuous time block. This is for a continuous block of time for the entire day. 

Day of week

Select the day of the week this setting applies to.

Date
Only use for hours of operation for specific dates. If you use a date, do not use the above Day of week setting
Open

This is the earliest time you will accept a pick-up or drop-off.

Close
This is the latest time you will accept a pick-up or drop-off.
Reservation type

Optionally choose a reservation type, if this Hours of Operation setting only applies to one reservation type. Otherwise leave it blank and these hours will apply to all reservation types for that day. 




Important!: Hours of Operations Settings with a Reservation Type override the default setting for that day of the week.



 Settings for Hours of Operation:

There is just one user permission to set up for the hours of operations feature. You can allow users to be able to override hours of operation when booking reservations. 

  1. Navigate to Left Navigation > Reports & More > Groups.
  2. Turn on the can override hours of operation permission for any groups.
