Introduction

The Check Ins & Check Outs report provides a comprehensive overview of your check-ins, check-outs, and in-house pets. This report offers flexibility, allowing you to generate summaries for specific date ranges, individual days of the week, and across various subdomains or combinations of locations.

Gingr Business Analytics is a paid reporting tool best designed for facilities with multiple subdomains that need to view combined booking and financial data across Gingr URLs. To learn more about the other features of this tool and how to sign up, check out Gingr Business Analytics article.

The data on this report refreshes every day at midnight to show the previous day's information. 

 

Key Features

  • You can tailor your view by selecting from the available sorting options, such as subdomain/locations, day of week, and date range.

  • You may optionally export each section of this report to Excel or .CSV.

  • When viewing a specific date, in house represents the number of pets that were recorded in the facility at any point during that calendar date. When viewing a date range, in house represents the summed total of in house pets for each calendar date in the date range.

  • You can right click on any section of the report and show the data as a table.

  • You can hover over the graphs to view a tooltip breakdown of the information.

 

Getting Started

To access the Check Ins & Check Outs report, please navigate to Reporting » Bookings » Check Ins & Check Outs. You can click Check Ins & Check Outs on the left-hand side, or click "Go To Report" under the corresponding section:

There are several report parameters that you can use to tailor your view on this page. You can include and exclude the preferred data that you'd like to see with the available filters. 

 

Report Parameters

The parameters for this report will automatically default to all subdomains you have access to, all days of the week, and last 30 days. However, you can customize the report output by simply clicking on the parameters located in the top right corner of the screen.

Parameter Description
Subdomain/Location(s) Combine or exclude data for subdomains and/or specific locations at each subdomain.
Reservation Type Combine or exclude reservation type data to be displayed on the report, or select all reservation types to view results for all.
Day of Week Choose a single day or multiple days of the week to view data for. 
Date Range Explore additional options for Quick Selection by clicking "Last 30 Days", including choices like "Last 7 days" and "Year to date". Alternatively, click the displayed date range to input a custom date range.

Report Output

The Check Ins and Check Outs report conveniently organizes data into three main categories: By Date Range, By Location, and By Category. Additionally, you'll find a section dedicated to showcasing your total Check Ins, Check Outs, and In House reservations. This report offers you the ability to run comparison trends, where you can select up to 4 different date ranges to see and compare your reservation trends. Whether you're seeking an overview or a detailed breakdown within your selected date range, these categories offer valuable insights into your check-in and check-out activities.

Tip:  You can right click on any section of the report to view the data as a table, rather than a graph.

 

By Date Range

This section displays a graph view of the total check ins, check outs, and in house reservations for the selected date range. The blue bar represents the number of check-ins, yellow represents the number of check outs, and black represents the number of in house pets.

By Location

This section displays a map view of your locations. You can view the data at the state level, drill down the data to the city level, or even by zip-code.

Tip:  The location info that is displayed on the graph (such as the city, state, and zip code) pulls directly from the location info in your Gingr app. This means that if your location is missing any fields, this will directly reflect on the graph in this report.

 

By Category

This section displays a breakdown of the check ins, check outs, and in house pets for your reservation and appointment categories. These categories correspond with the booking categories in your Gingr app under Admin » Reservation Types & Services Configuration.

Tip:  If your booking categories live under the "unassigned" category in your app, they will all fall under that category for this report.

Comparison Trends

Our comparison trend feature enables selection of up to four date ranges for comprehensive historical analysis. This functionality not only facilitates a deeper understanding of trends but also offers valuable insights for businesses. By visualizing and comparing data over time, businesses can identify patterns, evaluate performance, and make informed decisions to optimize strategies, improve efficiency, and drive growth.

To begin, click on "Run Comparison Trends" on the By Date Range graph:

Clicking on this will take you to a new page where you can choose up to four date ranges and see your data visually represented as a graph. Each selected date range is conveniently color-coded for clarity. You can further refine your analysis by filtering through reservation types, subdomains/locations, and categories.

For example, you can track the reservation trends during the Christmas season over the years. This tool makes it a breeze to compare and contrast that data, giving you valuable insights into your historical reservation patterns.

Reference:  The first date range (Date Range 1) determines the x axis for all the scatter graphs. So, this date range controls the months that displays on the graphs. Date ranges 2, 3, and 4 will update as dates are entered, but this will not affect the months that are shown on the graph.

 

Export the Report

Each section of the report can be exported to Excel or .CSV. To export the data, first, generate the report using the parameters that you prefer. Once your report is generated, locate the three dots next to the section you wish to export, and select "Export Data":

After selecting "Export Data," a popup will appear, offering you different export options:

  • Data with Current Layout: This default option, provided by Microsoft BI, is available for table and matrix visuals. However, currently, none of the report outputs correspond to this parameter.

  • Summarized Data: This choice exports the data exactly as it appears on the report, offering a high-level overview of totals.

  • Underlying Data: Opt for this option to export the raw underlying data that contribute to the totals displayed on the report. However, similar to the previous option, none of the report outputs currently match this parameter.

You can then view the data in your preferred program, such as Excel, Google Sheets, Pages, etc:
