Evaluation Types in Gingr allow you to create and manage the requirements pets must meet before booking certain services. For example, you may want pets to complete a Daycare Evaluation before attending daycare or a Boarding Evaluation before staying overnight. Evaluation Types are flexible and can be customized by location, species, and booking category to ensure the right rules are in place for your facility.
Before You Begin
To configure Evaluation Types, ensure your user group has the correct permissions:
Reservation Type Management Permissions - Required to create and edit evaluation reservation types.
Can Edit Evaluation Results - Allows updating pass/fail statuses after an evaluation is completed.
Can Override Evaluation Requirement - Allows bypassing booking restrictions when an evaluation has not yet been passed.
These can be set under Reports & More > User Groups.
Step-by-Step Instructions
1. Create the Evaluation Type
Navigate to Admin > Reservation Types & Services Configuration.
Locate the system-defined Evaluation booking category (this category cannot be deleted). Select '+ Evaluation Type'.
Enter a label for the evaluation type. Use a clear, descriptive name. For example: Evaluation | Daycare or Meet & Greet if you want a standard type across all reservations.
Save the new evaluation type.

Evaluation Results Records enables administrators to define how evaluation results are recorded and shared across their organization:

Option 1: Save evaluation results by location by default - Evaluation results are tied only to the location where they are recorded.
- The "Save Results to All Locations" checkbox displays and is unchecked by default.
- The evaluation icon reflects results from the current location only.

Option 2: Save evaluation results to all locations by default - Evaluation results are saved across all locations unless otherwise deselected.

Option 3: Always save results to all locations automatically - Evaluation results are saved system-wide automatically for consistent handling of pets across all locations.
- The "Save Results to All Locations" checkbox is hidden, since results always apply to every location.

Tip: The Evaluation category will appear in the Customer Portal only when at least one evaluation reservation type is created and enabled.
2. Open the Evaluation Settings Modal
From the Evaluation booking category, select Evaluation Settings to open the centralized settings interface. These settings affect all Evaluation Types.
In the Evaluation Settings modal, define evaluation settings by choosing:
Location: Where the evaluation applies.
Species: Which species require the evaluation.
Booking Categories: Which Booking Types require Evaluations before booking.
Save settings to apply for all selected locations.
Important: Users restricted to Allowed Locations can only select their allowed locations; others appear greyed out. Additionally, If you clear all booking category checkboxes for a location/species, the evaluation requirements are removed.
3. Configure Reservation Settings for the Evaluation Type
With your evaluation type selected, configure standard reservation settings as needed by selecting the pencil icon 'Edit Settings' button. These settings are the same as other Reservation Types:
General Settings, Booking Options, Communication Options, Check-In Options, Customer Portal Options, and Advanced Settings.
In Allowed Services & Service Options sections: Set your allowed items. An updated feature allows you to drag-and-drop to adjust the display order. The drag-and-drop feature is available across all reservation types.
Lastly, Set rates for the evaluation reservation type, any additional services, and service options. These rates will apply in both the Business Portal and the Customer Portal.
4. Verify Enforcement & Visibility
In the Business Portal, bookings are blocked if evaluation requirements are not met (Of Note: Users with 'Can Override Evaluation Requirement' permission can bypass these alerts).
In the Customer Portal, pets missing requirements display a “Requires Evaluation” badge; pets that have passed will not see the Evaluation category at all.
When saving or updating a pet’s evaluation results, the results are recorded based on your organization’s "Evaluation Results Records" setting.
- If configured to save results by location, make sure you are signed into the correct location.
- If configured to save or always apply results across all locations, updates will apply system-wide automatically.
