Summary
Gingr shows credit card surcharges on their own line in key financial reports, so they stay separate from your sales. This article shows admins which reports include surcharge data and how reporting differs for Gingr Payments and CardConnect.
What This Does
A surcharge is a fee that helps you recover card processing costs. It is not income from your services. Gingr keeps surcharges out of Revenue and out of taxable sales, so your numbers stay accurate.
Surcharge reporting applies only to credit card payments. Debit, prepaid, and gift cards are not surcharged.
Reports That Show a Surcharge Line
These reports show surcharges as a separate line, so you can reconcile what you collected.
| Report | What You See |
|---|---|
| End of Day | A separate surcharge line, much like tips. |
| Revenue by Date(s) | A separate surcharge line, apart from service revenue. |
| Sales Receipt | Two new lines: Credit Card Surcharge Collected and Refunded Surcharges. |
How Surcharges Appear on the Sales Receipt
The Sales Receipt report balances debits and credits. Credit Card Surcharge Collected appears in the Credit column, after Sales Tax and before Tips Payable. Refunded Surcharges appears in the Debit column, after Refunded Deposits.
Both lines also appear in the QuickBooks Online CSV export. Map them to their own account in QuickBooks, not to your service revenue account.
You see these lines only if your location uses surcharging.
Reports That Include Surcharges in Totals
These reports add surcharges to the amount collected. They do not show a separate surcharge line.
- Customer Spend
- Deposits
- Refund Reasons
- Transactions By User
- Point of Sale
If you refund a surcharged payment, the report includes the refunded surcharge in the refund total.
Reports That Leave Surcharges Out
Surcharges do not count as sales in the Sales Tax report. They also do not count toward commission or wage-to-sales figures.
Surcharges on Owner Profiles
Surcharge amounts also appear on invoices, estimates, and payment history in the owner profile. They match the amounts in your financial reports.
Gingr Payments Dashboard
If you use Gingr Payments, the Gingr Payments Dashboard shows these surcharge figures:
- Surcharge Collected: the surcharge amounts you collected.
- Processing Fees Paid: the total processing fees charged to you.
- Net After Fees: your fees after surcharges are applied.
If You Use CardConnect
CardConnect merchants see surcharges in End of Day, Revenue by Date(s), and Sales Receipt, the same as Gingr Payments merchants. The Processing Fees Paid and Net After Fees metrics are not available for CardConnect. To see your processing fees and surcharge totals, use your monthly CardConnect statement.
Reconciling on Your Enrollment Date
For reporting reconciliation, note that you may see duplicate batches for your enrollment date only. This can happen if transactions were processed before 12 p.m. EST on that day. It is part of the surcharge enablement process.
Where to Find It
You need the Can View Financial Reports permission to open financial reports.
To open a report, go to Reports & More > Reports. Select the report you want. To open the Gingr Payments Dashboard, go to Reports & More > Reports > Gingr Payments Dashboard.
