When a pet passes an evaluation, Gingr can automatically notify the pet parent through an email or SMS message. These templates are fully customizable so your business can control the message text, add merge fields, and reflect your branding.
Both templates are triggered by the Send Pass Communication modal, which appears after staff save evaluation results regardless of whether results are saved for one location or system-wide, based on your organization’s Evaluation Results Records setting in the Pet Profile or Shopping Cart.
Before You Begin
Ensure your user group has permission to edit System Email Templates and Canned SMS Templates.
SMS requires that your business has Gingr’s SMS functionality enabled.
Customizing the Evaluation Pass Email Template
1) Navigate to the Template
Go to Admin » System Email
Locate the template labeled Evaluation Pass Notification
Select the Edit pencil icon
2) Edit the Template

Update the subject line and email body text if necessary.
Example subject: “Daycare Evaluation Passed!”

Insert variables to personalize the message. Common fields include:
{animal_name}
{first_name}
{evaluation_passed_categories}
3) Save Changes
Select Save to apply updates.
This template will now send automatically when selected during the communication modal after staff record pass results.
Customizing the Evaluation Pass SMS Template
1) Navigate to the Template
Go to Admin » System SMS
Locate the template labeled Evaluation Pass Notification
Select the Edit pencil icon
2) Edit the Template

Update the SMS text with your preferred wording.
Example: “[Pet Name] has passed their Boarding Evaluation. We look forward to seeing them soon!”

Use variables to personalize the message. Some examples include:
{animal_name}
{location_name}
{evaluation_passed_categories}
Keep the message concise for SMS simplicity.
3) Save Changes
Select Save to apply updates.
The SMS will automatically send when evaluation results are saved and the communication modal is confirmed.
Additional Information
Both templates include only the categories that have passed - failed results are not sent to customers.
Staff can choose not to send communications by selecting 'Cancel' in the Send Pass Communication modal.
Templates can be edited anytime to update tone, branding, or variables.
