Additional Service Settings Field Guide (Reference)

Introduction

Additional services are services that can be added to a reservation or appointment. Additional services can be unscheduled, scheduled without a specialist, or scheduled with a specialist as an appointment-based service. Use this Field Guide to help understand the settings associated with Additional Services.

 

General Settings

General Settings Description Helpful Hint
Label The name that will be displayed both internally and on the Customer Portal.  
Allowed Locations Select which location(s) this service is offered. If you remove all allowed locations this moves the service to the Disabled section of your Reservation Types and Services Configuration page.
Description Include any information the customer will need to know about the details of the service and its pricing.  This section can include pictures, tables, hyperlinks, videos, and more.
Color Choose the color that will display on the Facility Calendar and on the "add service" section on the dashboard.  
Apply Tax? If enabled tax will be applied to this service on invoices. Manage tax rate and tax settings in mass under Admin » Tax Settings.
Account code Optionally indicate which account code the charges for this booking type should be reported on. Account Codes can be set under Admin » Account Codes.

 

Booking Settings

Booking Options Description Helpful Hint
Is this service scheduled? Enable this setting if the service will be scheduled within a reservation or scheduled with a specialist. 

"No" For services that do not need to be scheduled at a certain date/time or with a specialist.

"Yes" For services that are scheduled at a certain date and time. Includes duration, interval, frequency options, and default start time.

"Appointment Based" For services that are scheduled with a specialist. Includes duration and interval. 

Duration This setting is used when the service is scheduled. It determines the amount of time that is occupied when this service is booked.  The duration can be edited per pet at the time of booking. We recommend entering the average duration as the placeholder.
Interval This setting is used when the service is assigned to a specialist schedule. It determines how frequently the service is offered.  Example: If the interval is set to 30 minutes then appointments can be booked at 9:00am, 9:30am, 10:00am etc. If set to 1 hour then appointments will be offered each hour. 
Default Start Time

Default start time is the first time option that will appear when scheduling the service.

If this service doesn't need to be scheduled at a specific time, enter the most common time your facility would complete this service.

Example: enter "1300" if you perform the service around 1pm each day. 
Frequency Options When selected, these options will be available to employees when creating reservations and the system will automatically create the desired number of scheduled services at the selected time.

At least one option must be selected, and we recommend always including the "Once" option.

This only affects scheduled services that are NOT assigned to a specialist schedule. 

Booking Form Questions Optionally ask your customers or staff up to 3 questions for this service. Example: What type of hair cut? Any health concerns?
Automatically charge last checked out service price? If enabled, Gingr will remember the most recent price set for the pet for this service.  This is great for variable-priced items like grooming services.
Remember pet’s last duration for this service? If enabled, Gingr will store the duration of the service per pet and will pull this value for future appointments.  This is per service per pet.
Capacity groups This capacity setting will control capacity by the number of animals who can book this service on a given date. For more information review our article on Capacity Limits.

 

Communications Settings

Communication Options Description Helpful Hint
Email Custom Text Text entered into this field can be pulled into automated email templates with the {services_custom_text} variable.  For more information see our article on System Email
Dropoff Times This setting is used only for appointment-based services. When text is input here, the email variable {service_dropoff_times} can be used in the New Appointment Email to enter this text.  

 

Customer Portal Settings

Customer Portal Options Description Helpful Hint
Allow booking requests from pet parent portal? When enabled customers can see and add this service to their reservation request from the customer portal. You will see this as "Business Only" on your end, but it's not visible to customers.
Limit service time selection for customers?

When enabled, this will show service time options only within your Hours of Operation.

If disabled, this will show service time options any time between 12:00am - 11:59pm.

This only affects scheduled services that are NOT assigned to a specialist schedule.  
Use for Webcams If your facility has iDogCam or abcKam web cameras, this will enable the customer to view this camera if this service is added to their reservation. For more information see our article about Webcams.

 

Advanced Settings

Advanced Settings Description Helpful Hint
Delete? Deletes the service from the database entriely. 

Important:  if a service has ever been used before you must not delete it. Doing so will corrupt your data and we may not be able to recover it. If you are at all unsure if you can delete something please contact Gingr Support.
