Set Up Convenience Fees (How-To)

Introduction

Businesses using Gingr Payments as their credit card processor can implement a convenience fee as a flat rate of ¤4.50 units (¤ = universal currency symbol). This feature allows businesses to offset processing costs in a straightforward manner while maintaining transparency with their customers about the associated fees.

Due to the legal ambiguity and inconsistency among local jurisdictions, instead of a surcharge fee, a convenience fee was implemented as surcharge fees are restricted in more states and have stricter rules from card brands.

With this feature enabled, convenience fees will automatically apply to non-recurring, card-not-present, Gingr Payments Transactions from both the Business and Customer Portal. Users from the business side will still retain the ability to adjust the payment amount collected for the items as needed. However, the convenience fee will automatically be added to the total, even for payments as small as $0.01. As a result, the minimum total charge for any payment event will always include the convenience fee.

 

Before You Begin

Convenience fees can only be enabled at a location that utilizes Gingr Payments as their credit card processor. Convenience fees will only apply to non-recurring, card-not-present, Gingr Payments Transactions in the Business and Customer Portal. All admin users have access to enable or disable convenience fees. Convenience fees are location-specific.

Important: The convenience fee is a fixed amount, not a percentage of each transaction. This fee is hardwired into the system and cannot be modified.

Caution: Convenience fees are non-refundable and cannot be returned to the pet parent once paid. Regardless of whether the item charges or payment is refunded, the convenience fee covers the processing costs and will remain with the business.

 

Set Up Convenience Fees

  1. Navigate to Left-hand Navigation: Admin » Credit Card Processing.
     
  2. Scroll down to the Location Settings section.

  3. The toggle will be available for adjustment only when Gingr Payments is enabled for the selected or signed-in location. Only active locations will be shown, and convenience fees can be enabled on a location-specific basis.

  4. Use the "Enable Convenience Fees?" toggle to enable or disable this setting.

    Notice: Convenience Fees are available exclusively for businesses utilizing Gingr Payments' Integrated Credit Card Processing. If you see a message stating "Convenience Fee is not available for this location," it may indicate that the required payment processor is not in use.

     
  5. When the admin user toggles on the setting for convenience fees, the Terms & Conditions workflow will begin. A PDF viewer will slide out from the side of the screen so the admin user can read over the terms and digitally sign. The rest of the screen will be disabled for any actions until the Terms & Conditions are signed or closed out of.

  6. Once signed, the Terms & Conditions slide-out will close and the setting will show as enabled.

    Important:  Convenience fees can be disabled by clicking the green toggle to toggle them back off. To toggle them back on, the admin user will need to read and digitally sign the Terms & Conditions again.
