Convenience fees must be enabled by an admin user. You can enable these by navigating to Left-hand Navigation: Admin » Credit Card Processing.
Caution: Convenience fees are non-refundable and cannot be returned to the customer once paid. Regardless of whether the item charges or payment is refunded, the convenience fee covers the processing costs and will remain with the business.
Convenience Fees During Checkout
When a reservation is ready to check out, or when making a package or retail sale, and the owner will be applying payment, follow these steps:
- Add the reservation or items to the Shopping Cart.
- Once in the cart, review the charges.
Notice: The convenience fee will only be added to the total after the user selects the payment method linked to Gingr Payments. A convenience fee will only apply to card-not-present transactions.
- Select Check Out With Payment:
- In the pop up window, choose a Payment Method to either check out with manual entry tied to the Gingr Payments processor, or select their Gingr Payments Card On File. Review the Payment Amount, and, optionally, enter a Description for the payment.
- Once a payment method tied to Gingr Payments is selected, the convenience fee will automatically apply.
Important: When convenience fees are enabled and a payment method linked to the Gingr Payments processor is used, users retain the ability to adjust the payment amount as needed. However, the convenience fee will automatically be added to the total, even for payments as low as $0.01. As a result, the minimum total charge for any payment event will always include the convenience fee.
- Select Complete Checkout to record this transaction.
Important: A convenience fee applies to each individual payment event. If a payment is split across multiple cards, each card-not-present transaction will incur a fee. To avoid this, the user would need to select a different payment method. On the business side, where multiple invoices can be paid at once, only one convenience fee would apply for the total payment.
Viewing Invoices Generated After Checkout
After checkout, the convenience fee will appear on a separate invoice from the line item charges. On the main invoice detailing reservations, services, or other items in the Invoice Payment Details section, a payment allocation is displayed.
Each invoice includes a statement just above the Invoice Payment Details, specifying whether a convenience fee has been collected, and it references the invoice ID where this fee is documented.
When navigating to the corresponding referenced invoice, the Convenience Fee invoice will be marked as closed and will not include any item charges. It will also display a message confirming that a Convenience Fee was charged, referencing the original invoice that triggered the fee.
