Introduction

Membership renewals in Gingr are designed to function automatically, ensuring a seamless process for both businesses and pet parents. Memberships do not expire unless canceled and cannot be paused. Payments are collected based on the billing schedule, with flexible options to suit your business needs.

Before You Begin

  • Ensure that membership configurations, including renewal cycles and billing schedules, are set up according to your business policies.
  • Verify that pet parents have an active payment method on file to avoid failed payments.

Billing Schedule and Renewal Cycles

Overview

  • All memberships renew automatically without expiration.
  • Memberships cannot be paused and must be canceled to stop recurring payments.
  • Payment is collected upon enrollment, and the same card is used for all renewals unless updated.

Renewal Attempt Timing

  • Renewal attempts occur at 12:00 a.m. on the scheduled renewal date.

Renewal Cycles

Businesses can configure memberships to renew based on the following cycles:

  • Weekly:
    • Renews every 7 days starting from the enrollment date.
    • Alternatively, businesses can specify a renewal day of the week.
  • Monthly:
    • Renews on the 1st or 15th of the month (as configured).
    • Renews on the same date as the purchase. If purchased on a date unavailable in the following month (e.g., the 31st), renewal occurs on the last available day.
  • Annually:
    • Renews on January 1st, April 1st, July 1st, or October 1st (as configured).
    • Renews on the same date each year. If purchased on February 29th, renewal defaults to February 28th on non-leap years.

Benefit Settings

When configuring memberships, businesses can set when benefits expire:

  • On Renewal:
    • Benefits from the previous period expire immediately upon renewal.
  • After # of Days:
    • Benefits remain valid for a specified number of calendar days after purchase.
    • Example: A weekly membership allows benefits for 10 days after purchase. Select After # of Days and enter 10 in the settings.

Renewal Process

Membership renewals in Gingr are fully automated based on the configured renewal cycles and billing schedules. The system manages payments, updates benefits, and handles failed payments through a structured process to ensure a seamless experience for both businesses and pet parents.

 

Successful Payments

  • Closed Invoice: Payment is processed, benefits are added to the pet parent’s account, and a receipt is emailed automatically.
  • Membership Receipt Email: This system email confirms successful payment and includes invoice details.

Failed Payments

  • If the initial attempt fails, the system retries up to 5 times over 4 days.
  • During this time, businesses can manually update the pet parent’s card on file to resolve the issue.
  • Open Invoice: Benefits are removed if payment is not resolved after the 5th attempt, but the membership remains active for the next renewal cycle.

Example Scenarios

Weekly Renewal:

  • Membership purchased on a Friday; renewal occurs the following Friday.

Monthly Renewal (1st of the Month):

  • Membership purchased on January 20th; benefits are prorated, with the next renewal set for February 1st.

Annual Renewal:

  • Membership purchased on February 29th; next renewal occurs February 28th during non-leap years.

Customer Communications

Gingr provides automated email notifications to ensure pet parents are informed about their memberships:

  • Membership Enrollment Email: Sent upon enrollment, includes a link to the Membership Terms & Conditions.
  • Membership Renewal Reminder Email: Sent 7 days before renewal for annual memberships only.
  • Membership Receipt Email: Sent upon successful payment of a membership invoice.
  • Membership Failed Payment Email: Sent for each failed payment attempt.

Businesses can monitor membership payment events in the Memberships Report or the Memberships tab on the owner profile.
